Published Forms and Sets

Published forms can be assigned to a user for submission. All published forms and sets are managed on the Published dashboard. Forms inside of a published set can be assigned when the set is opened. You can think of published forms and sets as the tools you will use every time you need a new customized document or set of documents.

For example, I could have a published set containing two forms. When I start a new business project with a client I would open the set to assign one form to myself and assign the other form to the client. With the submitted forms I can generate all the connected documents at once. The types of documents you create will depend on your use case.

There are various assignment and sharing options available. Assigning a form to a user will open one instance of that form to be submitted. But, you can also choose to share published forms with users and allow them to submit the form whenever they need to. Other controls let you choose who can generate connected documents and which documents they can generate.

Published Forms

All of your published forms can be managed on the Published dashboard. You can assign a published form to another user or yourself. After assigning a form a new instance will appear in the Opened content web page.

Create a Published Form

You must have existing form templates to make published forms. See the templates guide to learn about form templates.

To create a published form:
  1. Go to the Form templates dashboard.
  2. Click the form template you want to publish.
  3. Click the Publish button and wait for publishing to finish.
  4. Your published form will be available on the Published dashboard.
Assign a Published Form
To assign a published form:
  1. Go to the Published dashboard.
  2. Click the published form you want to assign.
  3. Click the Start form button.
  4. Enter a description of the assignment. The description is included in the notification sent to the user you assign the form to.
  5. If you don’t want to require login to submit the form then uncheck the require login option. This makes it easier for the assigned user to access the form but also doesn’t allow the assigned user to generate documents (unless it’s assigned to yourself).
  6. Select who can generate documents after the form is submitted. WARNING: Users who can generate documents will be able to copy documents connected to the form to their own account.
  7. If you want to assign the form to another user then uncheck the assign to myself option.
  8. Click the Start button.
Submit an Open Form

If a form is assigned to you then you can submit the form. You should answer all the questions in the form before submission.

To submit an open form:
  1. Go to the Opened dashboard.
  2. Click the form you want to submit.
  3. Click the Continue form button.
  4. Answer all the questions in the forms. Use the Next and Back buttons to change sections.
  5. Click the Submit button on the last section of the form.
  6. Click the Submit button in the pop-up window to confirm you want to submit the form. No changes can be made to the form once it is submitted. Whoever was given permission to generate documents with the form will be able to use your submitted answers to generate documents

Published Sets

A published set should contain multiple related forms. If you have multiple forms connected to the same document(s) then you must put those forms in a set. Forms in a set can have their documents generated together and the answers submitted in all of the forms will be used to generate the connected documents. Although, forms in a set are not required to be connected to the same documents. You are able to generate documents for each form separately if you choose to. Documents in a set can only be generated after all the forms in the set have been submitted.

Create a Published Set

If a form is assigned to you then you can submit the form. You should answer all the questions in the form before submission.

To publish a set template:
  1. Go to the Set templates dashboard.
  2. Click the set you want to publish.
  3. Click the Publish button and wait for publishing to finish.
Start a Published Set Instance

Before you can assign forms in a set you need to open a new instance of the published set. Sets are not assigned to users.

To start a published set:
  1. Go to the Published dashboard.
  2. Click the set you want to start.
  3. Click the Start set button.A new page will open.
  4. Enter a description of the new assignment.
  5. Click the Start button. A new open instance of the set will be available in the Opened dashboard. See the instructions below on how to assign forms in an open set.
Assign a Form in an Open Set

You need to create an open instance of a published set before you can assign the forms in the set. See instructions above on starting an instance of a published set.

To assign a form in an open set
  1. Go to the Opened dashboard.
  2. Click the set you want to start.
  3. Click the Manage set button. The management page for that set will open.
  4. Click the form you want to assign.
  5. Click the Start form button. This button is only shown if the form has not been assigned.
  6. Enter a description of the assignment. The description is included in the notification sent to the user you assign the form to.
  7. If you don’t want to require login to submit the form then uncheck the require login option. This makes it easier for the assigned user to access the form but also doesn’t allow the assigned user to generate documents (unless it’s assigned to yourself).
  8. Select who can generate documents after the form is submitted. WARNING: Users who can generate documents will be able to copy documents connected to the form to their own account.
